Signing In & Account Access


This guide covers every way into FileOnion for firm users — signing in, creating an account, joining a team by invitation, and recovering a forgotten password. If you are a client of a firm, you never need an account: see the note at the end.

Signing in

Go to the FileOnion sign-in page and choose one of the following.

Email and password

Enter your Email and Password, then click Log in.

Certain FileOnion emails contain magic links — one-time links that sign you in without typing a password (for example, links sent to clients, or links that switch you into another organization). Opening the link verifies it and takes you straight to the right page.

Behind the scenes a magic link is a genuine passwordless sign-in: opening it answers a one-time challenge issued for that link alone, and the link is spent once it is used. Two variants exist:

  • Magic link — one click opens the page.
  • Secure magic link — after clicking, you are asked for a one-time code sent separately. Use this for sensitive matters.

If you see "Your link is either invalid or expired", request a fresh link and try again. Links are single-use and time-limited, so an old email will not work twice.

SSO (Enterprise)

If your organization uses single sign-on, start typing your work email on the sign-in page — a Sign in with SSO button appears once FileOnion recognizes your company's domain. Click it to authenticate with your identity provider; you are returned to FileOnion and signed in. See Security.

MFA code at sign-in

If you have enrolled an authenticator app, you are prompted for the 6-digit code from that app after entering your credentials. Accounts with SMS verification receive the code by text instead. Owners and Admins who have not yet enrolled are taken to their security settings to set up an authenticator app when they sign in. See Security.

Signing up

  1. On the sign-in page, click Sign up.
  2. Fill in your first name, last name, email, and password, accept the Terms and Conditions, and click Sign up.
  3. Check your email for a 6-digit verification code — the screen names the address it was sent to. Enter it to continue. Didn't get one? Check your spam or junk folder, then use Resend it (available again every 30 seconds).

After verifying, you are signed in and taken through onboarding to set up your firm. Every new firm starts with a 15-day free trial — no credit card required. See Getting Started.

Left before entering your code?

You're not locked out. If you signed up but never entered the verification code:

  • Sign up again with the same email — instead of telling you the address is taken, FileOnion sends a fresh code and drops you straight onto the enter-code screen.
  • Or just log in — an unverified account is routed to the verification screen rather than an error.

If you verify but chose a different password the second time around, you land back on the sign-in page with a note that your email is verified — log in with the password you picked when you first signed up.

Accepting a team invitation

When a teammate invites you to their organization, you receive an email with an invitation link:

  1. Open the link. If you are not signed in yet, choose Sign In (existing FileOnion account) or Create Account (new users go through the sign-up flow above).
  2. Review the invitation — it shows the organization, your assigned role, and any personal message.
  3. Click Accept Invitation (or Decline).

You are switched into the new organization and land on its dashboard. If you were already a member, FileOnion tells you so. See Team Members & Roles.

Forgot your password?

  1. On the sign-in page, click Reset password.
  2. Enter your email and click Send reset link. FileOnion emails you a one-time code.
  3. On the Set new password screen, enter your new password along with the code from the email, then click Log in.

Temporary passwords

If an administrator gave you a temporary password, FileOnion asks you to choose your own password the first time you sign in — enter it and click Set password & log in. Once signed in, you can change your password anytime from your account settings. See Settings & Preferences.

Clients don't sign in

Your firm's clients never create accounts or passwords. They receive a branded email or text with a magic link that opens their upload page directly. Clients who have no email address at all sign in the same way, by texted link plus a one-time code. See Client Portal and Clients without an email address.
